We usually collect information directly from you. We may also receive it from your employer or colleague, payment provider, delivery carrier, communications provider, supplier or a Liberty-i customer that has authorised us to support its service.
3. Why we use personal information and our lawful bases
- To respond to enquiries, prepare proposals and take steps before a contract: contract and our legitimate interests in developing and operating our business.
- To provide products, connectivity, VoIP, support and managed services: contract.
- To process payments, deliveries, returns and warranties: contract and legal obligation.
- To maintain accounts, invoices and tax records: legal obligation.
- To operate, secure, troubleshoot and improve our website and services, prevent fraud and defend legal claims: our legitimate interests in running a secure and reliable business, and legal obligation where applicable.
- To send requested marketing updates: consent. You can withdraw consent at any time.
- To measure website use with optional analytics: consent. Analytics remains disabled unless you actively accept it.
Where we rely on legitimate interests, we consider the purpose, necessity and effect on your rights. We do not use that basis where your interests or rights override ours.
4. Guest Wi-Fi and managed services
For some Guest Wi-Fi and managed services, Liberty-i processes information on behalf of the business providing the service, such as a hotel, retailer or venue. That business is normally the controller and its portal or service privacy notice explains the specific information collected, sign-in choices, marketing permissions and retention period. Liberty-i follows the controller’s documented instructions and applies appropriate security controls.
Where Liberty-i decides why and how information is used for its own account management, support, security or legal purposes, Liberty-i acts as controller for that use.
5. Who we share information with
We share only what is necessary with trusted providers and recipients, which may include:
- hosting, database, email, support, security and backup providers;
- payment providers such as Stripe and PayPal when those methods are enabled;
- delivery carriers, manufacturers, distributors and warranty or repair partners;
- network, telecommunications and wholesale service providers needed to quote, install or operate a service;
- analytics providers, but only after valid consent;
- professional advisers, insurers, auditors and regulators; and
- law-enforcement bodies or other parties where disclosure is required by law or necessary to protect legal rights.
We do not sell personal information.
6. International transfers
Our core website and customer records are intended to be hosted in the UK. Some suppliers may process limited information in other countries. Where personal information is transferred outside the UK, we use an applicable UK adequacy regulation or appropriate safeguards, such as the UK International Data Transfer Agreement or UK Addendum, and assess the protection available.
7. How long we keep information
- Enquiries: normally up to 24 months after the last meaningful contact, unless they lead to a contract or a longer period is required for a dispute.
- Customer, order, invoice and tax records: normally six years, or longer where law or an active contract requires it.
- Support, service and security records: for the service term and then for the period reasonably needed for support, security, audit or legal claims.
- Marketing records: until you withdraw consent or the information is no longer useful, with a minimal suppression record retained where needed to respect an opt-out.
- Guest Wi-Fi data processed for a customer: for the period set by that customer and described in the applicable portal or service notice.
We review retention and securely delete or anonymise information when it is no longer required.
8. Your rights
Depending on the circumstances, you may have the right to ask for access, correction, deletion, restriction, portability or to object to our use of your information. Where processing is based on consent, you may withdraw that consent at any time without affecting earlier lawful processing. You also have an absolute right to object to direct marketing.
To exercise a right, contact info@liberty-i.com. We may need information to confirm your identity. We normally respond within one month.
9. Complaints
Please contact us first so we can try to resolve your concern. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
10. Security and automated decisions
We use technical and organisational measures designed to protect personal information, including access controls, encrypted connections, monitoring, backups and restricted administrative access. No internet service can be guaranteed completely secure, so please do not send passwords, full card details or unnecessary sensitive information through enquiry forms or email.
We do not make decisions producing legal or similarly significant effects about website visitors solely by automated means.
11. Updates to this notice
We may update this notice when our services, suppliers or legal obligations change. The current version and update date will remain available on this page.
